Privacy Policy

NotesXD ("we", "our", or "the app") is a native macOS application designed to help you capture, organize, and interact with your meeting notes. NotesXD is operated by La Azotea Labs SpA. We are committed to protecting your privacy. This policy explains how we handle information when you use NotesXD.

1. Our Privacy-First Approach

NotesXD is built with a local-first architecture. Your notes, transcriptions, and tasks are stored on your device. We do not operate cloud servers that store your content, and we do not have access to your meeting recordings or transcriptions.

2. Information We Collect

2.1 Information We Do Not Collect

2.2 Information Processed Locally

The following data is processed entirely on your Mac and never leaves your device unless you explicitly choose to use AI features:

2.3 Information Shared with Third Parties

When you use the AI chat feature to ask questions about your notes, generate summaries, or create action items, the relevant note and transcription content is sent to a third-party AI service provider to generate a response. This data is:

2.4 Beta Registration

If you sign up for the beta program via our website, we collect your email address and any information you provide in the registration form. This information is used solely to manage beta access and communicate updates about NotesXD.

2.5 Google Calendar Integration (optional)

NotesXD offers an optional integration with Google Calendar. If you choose to connect your Google account, NotesXD requests read-only access to your calendar events using the https://www.googleapis.com/auth/calendar.events.readonly scope (and your email address via userinfo.email to identify the connected account). We use this access solely to:

This data is fetched directly from Google to your Mac, processed locally, and is never stored on our servers, shared, sold, or used to train AI models. NotesXD never creates, edits, or deletes calendar events, and never accesses other calendars, calendar lists, or settings. You can disconnect Google Calendar at any time from the app, which revokes this access.

2.6 Limited Use of Google User Data

NotesXD's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. Audio Processing & System Monitoring

NotesXD includes an optional feature that monitors system audio to detect when a conversation is taking place (e.g., a video call). This feature:

3.1 Ephemeral Audio Processing (No Retention)

At NotesXD we apply the principle of Privacy by Design. The audio stream captured for transcription is processed strictly in real time in the system's volatile memory. NotesXD does not record, store, or generate audio files (such as .mp3 or .wav). Once the Artificial Intelligence engine converts the voice stream to text, the audio buffer is destroyed irreversibly and immediately.

3.2 Technical Anonymity & Exclusion of Biometric Data

Our system is designed to be 100% anonymous. NotesXD does not perform voiceprinting, does not analyze vocal spectra to identify the biometric identity of speakers, nor does it automatically associate interventions with the profiles of specific individuals. The software processes the audio channel in a flat and blind manner with respect to the identities of the participants, remaining outside the scope of strict biometric regulations (such as the BIPA law in Illinois).

4. Data Storage & Security

All your data is stored locally on your Mac using Apple's native frameworks. We do not maintain servers that store your personal content. Your data is protected by:

4.1 No Cloud Storage & Zero Training Policy

To guarantee maximum corporate and educational confidentiality, NotesXD commits to:

  1. Not storing transcriptions or summaries on external servers. Textual data resides solely on the user's computer.
  2. Using enterprise-grade APIs with strict zero-retention policies, ensuring that the processed content will never be used by third parties or by NotesXD to train, optimize, or improve public Artificial Intelligence models.

5. Your Rights & Control

Because your data is stored locally, you have full control:

6. Children's Privacy

NotesXD is not directed at children under the age of 13. We do not knowingly collect personal information from children.

7. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of any material changes by updating the "Last updated" date at the top of this page. We encourage you to review this policy periodically.
